Mastering the Meeting: A Simple Guide to ClubRunner for Milson Rotary

1. The Mystery of the Missing RSVP

Have you ever clicked a button to sign up for one of our Rotary gatherings, only to wonder if your response actually "went through"? You aren't alone — it's perfectly normal to feel unsure when the screen doesn't give you a clear thumbs-up straight away. We've all been there!

Transitioning to ClubRunner for event management is a positive step that helps Barb's support crew plan better for catering. This guide is designed to take the guesswork out of your next RSVP so you can spend less time wrestling with the software and more time enjoying the fellowship of our club.

2. Your Digital Front Door: Opening the Invite

The easiest way to respond is through the email invitation sent directly to your inbox. These emails are usually titled with the name of the upcoming event.

From the email:

Step 1: Open the email and look for a prominent blue button or link — it will say "Attend or Decline" or "Register Online."
Step 2: Click that link. This often logs you in automatically, saving you the trouble of remembering a password.

From the website (if you don't have the email handy):

Go to milsonrotary.org.nz
Click Member Login and enter your details
Click the Member Area button in the top right
Select the Events tab
Click on the specific meeting or event you wish to attend

3. Making Your Choice: Register or Decline

Once you're on the event registration page, look for the "Register Me" section. You will see two clear choices:

To attend: Click the Register Me button
To decline: Click the Decline button

Even if you can't make it, clicking Decline is a wonderful courtesy. Knowing who isn't coming is just as important for catering and room setup as knowing who is. It helps avoid over-ordering and keeps our records accurate.

⚠️ Please note: If we don't receive a response, we have to assume you are coming — and you will be charged $36.

4. The Golden Rule: Always Scroll and Confirm

This is the most important part of the process — and where many of us get tripped up. After you click "Register," the page might look like you're finished, but your response has not been saved yet. Think of it as a two-step safety feature, similar to a confirmation screen when banking online.

To finalise your response:

Scroll down to the very bottom of the page
Look for the Confirm button
Click Confirm to officially record your choice

💡 Tip: If you're ever unsure whether your RSVP went through, it's almost always because the Confirm button at the bottom of the page was missed!

5. The More the Merrier: Adding Guests

We love seeing partners, friends, and prospective members at our gatherings. Adding a guest is simple:

Find the Guests section on the registration page
Click "Register Additional Guests"
Enter your guest's First and Last Name
Click Save

⚠️ Important: Saving your guest's name is not the final step. After clicking "Save," you must still scroll to the bottom of the main page and click Confirm.

6. Peace of Mind: Checking You're on the List

Want to be 100% certain your registration went through? You can verify in two ways:

Check your email: ClubRunner sends an automated confirmation email immediately after you click the final Confirm button. If it's not in your inbox, check your Spam folder.
Check the attendee list: On the event page, click "See who else is coming." If your name isn't there, you missed a step — simply start the process again and be sure to hit Confirm at the very end.

Mastering these few simple clicks does more than just secure your seat at the table — it helps our entire club run more smoothly and allows Barb to focus on the meeting rather than the paperwork. Don't worry if you missed a step last time; we're all learning these tools together.
